Marketing Coordinator

What You'll Be Doing:

Proposal Management


  • Maintain library of up-to-date templates and written copy derived from all marketing pieces to ensure consistent, corporate-wide usage
  • Coordinate project information database to ensure timely, accurate and accessible information
  • Provide input for best practices and templates
  • Monitor application of company brand and graphic standards for consistency
  • Provide assistance as needed for both Pankow’s Northern and Southern California offices, and MSP


  • Coordinate qualifications, proposal and presentation preparation activities; oversee and participate hands-on in the production of all qualifications, proposal and presentation deliverables
  • Coordinate the activities of external marketing resources (coaching, photography, graphics, and technical writing)
  • Support writing of proposal sections and cover letters
  • Work with Proposal Lead in developing win strategies and proposal preparation plans that address client’s issues and the RFP/RFQ requirements
  • Be actively involved in crafting proposal/presentation strategies and messages
  • Coordinate and develop presentations including strategy sessions, team meetings, research, design, reproduction, etc.
  • Organize post-proposal debrief


  • Contribute to the development and maintenance of long-term communications plan
  • Strategically recommend external marketing opportunities and manage requests (sponsorships, events, advertising, etc.) by considering company’s strategic regional business plans
  • Coordinate collateral materials development, web updates, regional photography, public relations and advertising, special events, conference planning and award programs for region
  • Craft effective communication messages to the target audience (internal and external) using a variety of print and digital media
  • Manage web content and corporate website
  • Develop, film and edit periodic videos and webinars
  • Support our culture of being a Learning Organization
  • Manage Pankow social media accounts
  • Track and report monthly on Pankow social media and website analytics
  • Assist with events as needed

Client Relationship Management

  • Assist in the development of strategy on client- and project-specific marketing activities

About YOU:


  • BA/BS degree in Marketing and Communications, Business Administration, Construction Management, Engineering or related fields


  • Must possess strong writing skills, excellent organization and communication
  • Strong proposal management skills
  • Ability to think strategically
  • Possesses good time management skills and ability to balance multiple short-term deadlines against long-term goals
  • Proficient in Creative Cloud and graphics programs
  • Excellent computer skills in MS Word, PowerPoint and Outlook
  • Database management experience; CMiC is a plus
  • Strong web and SEO knowledge
  • Mastery of digital communication, i.e. social media
  • Experience filming and editing videos and webinars is a plus
  • Experience running email marketing campaigns
  • Active involvement in professional organizations, including SMPS, is a plus

Work Experience

  • Minimum 3-6 years of experience (2-4 years of relevant industry experience preferred) in Marketing and Proposal Management in the A/E/C industry
